Business Automation & Integrations connects an agreed set of systems, such as website forms, HubSpot, Pipedrive or Zoho CRM, Shopify or WooCommerce, Stripe or PayPal, QuickBooks or Xero, Google Sheets or Excel, and Slack or email, using platform APIs, webhooks, n8n, Make, Zapier, or custom code where a no-code tool is unsuitable. Discovery maps each workflow's trigger, source of truth, fields, transformations, volumes, ownership, and failure cases before anything is built. The proposal names the workflows, connected accounts, tool choice, data mapping, error handling, retry and duplicate-prevention approach, logging, alerting, access permissions, test cases, documentation, handover, and support period. Where personal data passes through the integration, we act under a written data processing agreement aligned with UK GDPR and EU GDPR. The client supplies admin access, API plan limits, approved field mappings, sample data, and business rules. Tool subscriptions, API usage fees, data cleanup, client portals or help centres, ERP work, and ongoing monitoring are separate unless listed. Time savings, error-free operation, and third-party API availability cannot be guaranteed.

It depends on each workflow's volume, data sensitivity, hosting preference, and running cost. Zapier and Make suit simpler workflows, n8n suits heavier or self-hosted needs, and custom code suits cases the tools handle poorly. The proposal names the choice and the reasons.
Why is this priced after discovery?

Effort depends on the number of workflows, systems, API quality and limits, data volumes, transformation rules, error cases, test accounts, and approvals. Discovery defines these before a fixed scope and price are proposed.
What happens when a connected system is down or rejects data?

Each workflow has agreed error handling: validation before sending, retries for temporary failures, duplicate checks so retries do not create double records, and an alert to a named contact for failures that need a person. Behaviour depends on what each platform's API allows.
Who owns the accounts and credentials?

You do. Integrations run on your own tool and platform accounts with the minimum permissions needed. We keep a credential register during the project and remove our access at handover when requested.
Do you handle personal data under GDPR?

Where an integration processes personal data for you, we act as a processor under a written data processing agreement aligned with UK GDPR and EU GDPR. You remain the controller and decide the lawful basis, retention, and privacy notice content. Legal advice is outside scope.
Can you build a client portal or help centre?

Where a workflow needs one, a client portal, knowledge base, or help centre can be added as a separately scoped item, either configured in an existing platform or custom built. It is not included by default.
Will you clean up or migrate our existing data?

Integrations move new data going forward. Deduplicating contacts, fixing historical records, or bulk-importing old data is separate work, quoted after reviewing a sample.
Are tool subscriptions and API fees included?

No. Automation tool plans, CRM or accounting tiers that unlock API access, usage-based charges, and hosting for self-hosted tools are billed to you by the vendors. The proposal lists the expected subscriptions.
Can you guarantee time savings or error-free runs?

No. The work reduces manual steps for agreed workflows, but results depend on data quality, process changes, vendor API changes, outages, and plan limits. Logging and alerts make failures visible rather than preventing every one.
What support is provided after launch?

The proposal sets a defect-support period for in-scope issues. Ongoing monitoring, changes when a vendor updates its API, new workflows, and maintenance can be arranged separately.
